Patient Appointment and Financial Policy

At Apex Endodontic Studio, we truly value your time and the time of our doctor. To ensure we can provide the best care for all our patients, we kindly ask that you review our appointment and financial policies.

Running Late? Here’s What to Expect:

  • If you arrive more than 15 minutes past your scheduled appointment time, we may need to reschedule your visit. However, if our schedule allows, we will do our best to accommodate you later in the day.
  • We understand that delays happen, and we will always do our best to work with you while ensuring we stay on schedule for all of our patients.

Appointment Deposits, Payments & Refunds:

Consultation Appointment: Payment for the consultation fee is required at the time of the appointment. If you have dental insurance, we will verify your benefits in advance and apply any coverage towards your visit. Any remaining balance will be your responsibility.

To reserve an appointment for treatment, we require either:

  • Full payment of the treatment cost (or your estimated copay if using insurance), OR
  • A 50% deposit based based on the estimated treatment total (or 50% of the estimated copay)

Patients selecting to undergo sedation (nitrous oxide or oral sedation) are required to pay full fee / estimated insurance co-pay before the treatment date.

Remaining balances, if any, will be due at the time of service. Please note that insurance estimates are not guarantee of coverage, and any difference will be the patient's responsibility.

Advanced Cancellation & No-Show Policy

We kindly ask that you provide at least 48 hours’ notice if you need to cancel or reschedule your appointment. This allows us to offer the time to another patient in need of care.

  • Late Cancellations (less than 48 hours’ notice) will incur a $100 fee.
  • No-show appointments (when a patient does not arrive and no prior notice is given) will also incur a $100 fee.

We understand that emergencies may arise, and we’re happy to review exceptions on a case-by-case basis.

Patient Refunds Due to Insurance Overpayment

Once we have received payment from your insurance company, any overpayment on your account will be refunded to the original payment method. If we are unable to process the refund to your card, a check will be issued and mailed to the address on file.

Refunds are typically processed within 30 days of receiving the insurance payment.

 

Cancellations

Kindly provide at least 48 hours notice for any appointment that needs to be rescheduled. Appointments cancelled in less than 24 hours may be subject to a cancellation charge.

FEE TRANSPARENCY

Treatment fees will be assessed during your consultation and based on the complexity of the case. Also, although we complete many of our treatments in a single visit, there are some times that a second visit is needed due to the complexity of the case. In these situations, there is NO extra fee for additional visits. During your consultation visit, we will discuss the probable number of visits, their length, and the fees involved.

Our office is contracted with many PPO dental plans such as Aetna, Cigna, MetLife, Delta Dental, Connection Dental, GEHA, Ameritas, and Principal. We also accept the assignment of benefits for many other insurance companies. Your estimated co-pay is due in full at the time of visit.

Our consultation fee includes all necessary x-rays including the 3D Imaging (CBCT) and exam. Some insurances cover a portion of this fee.

For our patients without insurance, full payment at the time of service is expected. CareCredit you are able to extend up to 6 months of no-interest financing of dental services in our office to those of our patients with approved credit.

A Service charge of 2.9% will be applied to all credit card transactions. However, please note that this fee does not apply to payments made using HSA (Health Savings Account) or FSA (Flexible Spending Account) cards.
